Manually Input an Order in Dispatch

There will be times that you may need to manually input a delivery order into the Dispatch app: a remake that needs to be sent out again; a delivery that failed to hit the Captain system; or an integration limitation that results in certain types of deliveries not flowing into Captain.

Depending on whether you use your own drivers or outsource to FleetShare drivers, the required details will vary. Let's go through how to add a manual delivery for when you use your own drivers first:

Own-Driver Manual Delivery Order

Own-driver deliveries do not require as many details as FleetShare deliveries. After pressing "New Order" in the bottom right corner, you will be prompted to input various details. If you have missed any required fields, you will receive a prompt. Please note that it is not currently possible to edit delivery's details within the Dispatch App after it has been received or saved.

To add a delivery manually in the Dispatch App:

  1. Select the green "New Order" button in the bottom right corner

  2. Input the required details:

    • First Name

    • Last Name

    • Phone Number

    • First Line Address (i.e. 130 Main Street)*

    • Reference Number (this should correspond with your internal check number)

  3. Input helpful optional information:

    • Flat/House Name (i.e. Apartment 4)

    • Address Instructions (i.e. Call on arrival)

    • Special Instructions (i.e. VIP customer)

    • Order Total

    • Driver Tip

  4. Verify that all information is accurate

  5. Select "Save Order" in the bottom right corner

*When inputting the address, we recommend using the "Find Address" tab to auto-fill the address and then manually adjusting unique details, like apartment number and address instructions.

Once your manual delivery has been saved, it will be available to dispatch manually or automatically, based on your app settings.


FleetShare Manual Order

When outsourcing a delivery to an external fleet provider, more information is required to assure a successful quote can be received. It is essential that the correct information, including any special delivery instructions, are entered into the system to avoid potential return fees and customer dissatisfaction resulting from incorrect information being passed to the driver.

To add a delivery manually into your Dispatch App with the intention of outsourcing it with FleetShare:

  1. Select "New Order" in the bottom right corner

  2. Input the required details:

    • First Name

    • Last Name

    • Phone Number

    • First Line Address (i.e. 130 Main Street)*

    • Reference Number (this should correspond with your internal check number)

    • Order Total

    • Driver Tip**

  3. Input helpful optional information:

    • Flat/House Name (i.e. Apartment 4)

    • Address Instructions (i.e. Call on arrival)

    • Special Instructions (i.e. VIP customer)

  4. Verify that all information is accurate

  5. Select "Save Order" in the bottom right corner

**If you are manually inputting a tip, your company is responsible for the payment of this tip total. Be diligent when inputting financial details to avoid over/under tipping.
